Sealed quotations are invited from reputed and authorised suppliers for the supply of World Athletics-certified hurdles for Competition Purpose in Athletics. Suppliers shall quote their most competitive rates in accordance with the technical specifications provided in the attached schedule. PLEASE FURNISH THE DETAILS MENTIONED BELOW IN THE FOLLOWING TABULAR FORMAT, INCLUDING THE SERIAL NO., NAME OF EQUIPMENT, SPECIFICATIONS, AND AMOUNT PER UNIT. 1 . Hurdles ( IAAF Certified) – Competition Purpose : - (Specifications) → Elite Hurdle Unitised. Made out of 50mm Square tube base, Square steel tube Base frame steel tube for extra structural rigidity and unitised welded to take on beating. Aluminium Sliding Uprights. Easy selector system to adjust weight to the required Height, Easy Stacking. Adequate toppling force as per WA rules. Comes with PVC Bar & Powder Coated finish. Height Range 0.685m to 1.067m. WA Certified. (Quote the amount per Unit). TERMS AND CONDITIONS 1. Technical compliance: The hurdles offered shall strictly conform to the technical specifications stated in the quotation schedule and shall be suitable for competition use. Any deviation must be clearly disclosed in the quotation. 2. World Athletics certification: Where World Athletics certification is specified, the supplier shall submit documentary evidence confirming that the exact make and model quoted is certified. A general brand-level claim will not be sufficient. 3. Brand and model: The quotation shall clearly state the manufacturer, brand, exact model, country of origin, and complete technical specifications. Product brochures or technical datasheets shall be enclosed. 4. Price and taxes: The supplier shall quote the unit rate and total amount in Indian Rupees. The quoted price shall be inclusive of GST at the applicable rate (currently stated in the schedule as 18%), packing, transportation, loading, unloading, delivery, and all other incidental charges. Any tax or charge must be shown separately in the price breakdown. 5. Delivery period: The complete supply shall be delivered within 07 days from the date of issue of the supply order. 6. Delivery location: The materials shall be delivered to the location specified by the Association. All expenses connected with safe delivery shall be borne by the supplier and included in the quoted price. 7. Supplier location and service support: The supplier shall have a registered office, branch, or established business/service presence within the State of Kerala and shall provide prompt after-sales support within Kerala. Proof of the Kerala address and service arrangements shall be submitted with the quotation. This condition shall be applied subject to the applicable institutional procurement rules. 8. Maintenance and repairs: The supplier shall provide annual maintenance and servicing whenever required by the Association, including inspection, adjustment, and repair of the supplied hurdles. The quotation shall clearly state the warranty period, what maintenance is covered during warranty, the annual maintenance contract (AMC) charges after warranty, response time for service calls, and charges for spare parts or repairs not covered under warranty. No maintenance or repair work shall be undertaken for a charge without prior approval from the Association. 9. Warranty: The supplier shall specify the warranty period and provide written warranty terms covering manufacturing defects and workmanship. Defective parts or products covered under warranty shall be repaired or replaced at no additional cost. 10. Inspection and acceptance: All items shall be subject to inspection and verification by the Association or its authorised representative. Damaged, defective, or non-compliant items shall be replaced by the supplier at no additional cost. 11. Payment: Payment shall be processed after satisfactory delivery, inspection, and acceptance of the materials and submission of a valid invoice and required supporting documents, subject to the applicable financial rules of the institution. 12. Quotation validity: The quotation shall remain valid for at least 15 days from the last date fixed for submission, unless the Association specifies otherwise. 13. Documents required: The supplier shall provide applicable GST registration and PAN details, product literature, certification evidence, warranty details, and manufacturer/dealership authorisation wherever applicable. 14. Evaluation: Quotations may be evaluated on technical compliance, valid certification, total landed cost, delivery commitment, warranty, maintenance support, and compliance with applicable procurement rules. The lowest price alone shall not require the Association to accept a non-compliant offer. 15. Incomplete or conditional offers: Incomplete quotations or quotations that do not provide the requested specifications, price breakdown, certification evidence, or maintenance and warranty details may be rejected. 16. Right to accept or reject: The Association reserves the right to accept or reject any or all quotations, wholly or partly, in accordance with applicable rules and without being bound to accept the lowest quotation. 17. Supplier details and signature: The quotation shall include the supplier's name, full address in Kerala, contact number, email address, GSTIN, date, authorised signature, and official seal. 18. Submission: The quotation shall be submitted by the method and within the deadline specified in the invitation for quotation. Late submissions may not be considered.
